How to run a church board meeting

Good board meetings are mostly decided before anyone sits down. Preparation, a clear agenda and good follow-up matter more than skill with procedure.

Before the meeting

A sound agenda order

  1. Opening prayer and call to order
  2. Confirm quorum
  3. Approve the agenda and the prior minutes (often with a consent agenda for routine items)
  4. Pastor's report
  5. Financial report
  6. Committee reports
  7. Old business
  8. New business
  9. Executive session, if needed
  10. Next meeting date and adjournment

The agenda and minutes builder produces this structure for you, with a matching minutes template.

Chairing well

Executive session

Personnel matters, legal advice and sensitive pastoral concerns are often discussed in a closed session. Record only that the session took place and any action taken, not the discussion.

After the meeting

Send minutes within a week or so, and list action items with an owner and a due date. Open the next meeting by reviewing them. For the minutes themselves, see how to write church meeting minutes. For the rules behind votes, see Robert's Rules simplified.
